Hotel Booking Conditions


Excerpt of the Booking Conditions: 

Hotel Reservation and Deposit / Guarantee

Please reserve your hotel room within the (online-) registration form for the conference registration. Indicate your hotel of preference or the preferred price category. However, INTERPLAN reserves the right to book a room in a similar hotel in the event that the preferred hotel / category is fully booked. The reservations will be made on a first-come, first-serve basis.

To guarantee your hotel reservation it is necessary to pay the rate for the first night as a deposit or to indicate your credit card details that will be forwarded to the respective hotel as guarantee. Upon receipt of your booking and payment / credit card details, we will send you a letter confirming your hotel reservation. If you have indicated a credit card number, the full stay has to be paid directly in the hotel upon departure as the card won’t be charged in advance. In case you have paid a deposit you will receive a hotel voucher showing the amount of the deposit paid. This hotel voucher must be presented at the reception desk of the hotel upon departure. The deposit will be deducted from the hotel bill. A voucher is worth the amount written on it. Should you not present the voucher when checking out of the hotel, you will be charged for the full amount with no dedication of the deposit being made. The deposit paid for the voucher will not be reimbursed after the congress!

The hotel reservation will be confirmed only after payment or a credit card has been received!

 

Modifications / Cancellation

 

Any changes must be forwarded to INTERPLAN in written, either by e-mail, fax or letter.

Until June 19, 2009 please inform INTERPLAN and NOT the hotel, about any changes regarding arrival and departure dates. After this date, please contact directly the hotel for any further modifications.

Please note: The hotel reserves the right to charge any changes (later arrival/earlier departure, i.e. lost room nights) received later than June 08, 2009 (exception: Hotel Rheingold: deadline for cancellation free of charge: May 31, 2009; Novotel am Konzerthaus: deadline for cancellation free of charge: March 23, 2009.)

A cancellation of the entire booking and/ or modifications are only free of charge until June 08, 2009 (exception: Hotel Rheingold: deadline for cancellation free of charge: May 31, 2009; Novotel am Konzerthaus: deadline for cancellation free of charge: March 23, 2009).  If a pre-payment has already been made the amount paid will be refunded reduced by an administrative fee in the amount of € 15,00. After this date the hotel reserves the right to charge a cancellation fee of up to 100% of the full stay in case the room cannot be resold. In case of a cancellation, either the paid deposit will not be paid pack or the given credit card may be charged directly by the hotel with the cancellation fee appearing.

When booking a hotel room within the congress registration the participant agrees to these terms automatically.
